What is required during an amalgamation?

Is your company merging with another?
This article outlines the process and key points involved in transitioning a company's Petrotranz portal into another company's portal.

1. Amalgamation Documentation:
Prior to making any changes to the information within Petrotranz, we require the following:

  • Notice of Amalgamation

    • Any official documentation that you may have that outlines the effective date and details regarding the amalgamation will need to be sent to the Petrotranz Support Team - support@petrotranz.com

  • Amalgamation Waivers

    • Once we receive the required documentation, the Petrotranz Support Team will create two waivers that need to be signed and returned by a representative from each company involved in the amalgamation

2. Form Moves and Scheduling:
Once all the documentation has been passed along and the transition dates are finalized, the Petrotranz Support Team can begin to schedule the form/report moves internally.

  • Timeline: 4-5 days lead time is required to move data between portals

  • Petrotranz will identify and provide a list of all the reports/forms that will need to be moved

    • List will be provided to amalgamating companies for confirmation

  • Once everything is confirmed, the move will be completed

3. Customer Communication:
If the two companies amalgamating choose to send a communication, regarding the merger, through the Petrotranz platform via a "System Message", please inform the Petrotranz Support Team.

  • The Petrotranz Support Team can assist with the publication of the "System Message"

    • The communication can be published more than once

  • The amalgamating companies are responsible for providing a draft communication copy, in PDF and with a logo, approximately 24 hours prior to the desired publication date

4. Vendor Engagement:
Petrotranz will work with both companies to identify any mutual 3rd party vendors that may be impacted by the amalgamation.

  • Work collaboratively with both companies to engage and determine the impacts of integrations and what this will look like moving forward

5. Petrinex Information:
We have reference data that is imported from Petrinex on a daily basis. The following information is what we pull into our system:

  • BA (Business Associate) Code

  • Facility Codes (facility operator, location, etc.)

Petrotranz does not manually change any of the above information. Petrinex will need to be made aware of these changes. Once the Petrinex online files have been updated/refreshed, we will automatically have this information pulled into our system the next day.

We recommend that the facility code information be adjusted and pulled into Petrotranz before we complete form movement.
